How to Schedule an Event in the Park

The WCPA often receives requests for assistance on scheduling events within the State Park. Although we have no authority to arrange, approve, or influence the events that take place within the Park, we are happy to point applicants in the right direction and assist them through the process when we are able.

Camping

If you are interested in camping at the park, visit this site.

Picnicking

Groups of 20 or more people should reserve picnic facilities at least five days in advance.

The park offers a group picnic area at Greene Grove that can accommodate 125 people and includes restrooms, a shelter, playfields and playground equipment. It may be reserved for a fee.

Reservations can be made by calling the Visitors Center at 609-737-9303 or by mail using the group picnic reservation form

Events

Step One: The Special Use Permit (SUP)

No events can be scheduled without a Special Use Permit, or “SUP.” It must be submitted at least 90 days before most events. Unusually large and complex events will require more time.

We urge you to submit as early as possible, particularly if early advertising is needed. The approval process can take as little as one month or as long as three (even more if there are any errors!). The Park Superintendent will work with you, but they need a solid cushion of time. SUPs are accepted up to 16 months before an event takes place.

STEP TWO: Be specific!

The application requires very specific details about time, place and duration. Be as precise and detailed as possible. You will be required to submit information about food, electricity use, restroom use, and more.

Large events will require a detailed Operations Plan.

Step THREE: Certificate of Insurance (COI)

You must submit a Certificate of Liability Insurance with the certificate holder named as:

State of New Jersey Department of Environmental Protection
Division of Parks & Forestry
Washington Crossing State Park
355 Washington Crossing Road
Titusville, NJ 08560

If you don’t know how to get one, talk to your insurance company. You can find some basic information about C.O.I.s here or here.

Step Four: Pay your Fees

There is an fee for most applicants, including non-profits. NJ residents must submit a $60.00 application fee (or $150.00 for commercial events). Non-residents pay a $75 application fee ($200 for commercial events).

There are also fees for certain fields and picnic areas. Call the Visitors Center at 609-737-9303 for a fee schedule.

A large event that requires State Park Police, Maintenance, or intensive administrative help may incur additional fees. The Park Superintendent will give you details.
